TERMS & CONDITIONS

Our booking terms and conditions , as maybe amended from time to time, apply to all our services directly or indirectly.
All bookings are made between the participant and Ricktrackers &safaris LTD and by booking a trip with us you are deemed to have agreed to these booking conditions which constitutes the entire agreement between you and (us), and your booking will be accepted by us on this basis.

If any provision or part provision of the contract is or becomes invalidy, illegal or unenforceable, it shall be deemed modified to the minimum extent necessary to make it valid, legal and unenforceable.

If such modification is not possible,the relevant provision or part provision shall be deemed deleted. Any modification to or deletion of a provision or part provision under this clause shall not affect the validity and enforceability of the rest of the contract.

All dates, itineraries and prices are indicative only and the price quoted at the time of booking shall be the applicable price,subject to the surcharges that maybe levied in accordance with *following paragraph*

Our trip process can be subject to variable and seasonal pricing , both of which are standard practice within  the travel industry. This means our trip prices may vary at any time in accordance with demand, market conditions and availability. It is likely that different passengers on the same tour have been charged different prices. Any reduced pricing  or discounts that may become available after you have booked will not apply. The most up to date pricing will be available on our website.

 NOTE that, prices may vary depending on which currency the booking is made.

We reserve the right to impose surcharges up to three weeks before departure due to unfavorable changes in exchange rates, taxes,or any local operator costs if government action should require us to do so. If any surcharges results in an increase of more than ten percent of the trip price, you may cancel the booking within fifteen days of notification of the surcharges and obtain a full refund.

You are required to pay either a deposit or the full amount per trip for your booking to be confirmed. Please, speak to our sales office to confirm the required amount to secure your booking.

Once we accept your booking we will issue a confirmation invoice. The contract will be valid between us from the date we issue the confirmation invoice, or if you book within seven days of departure the contract will be valid once we accept your payment.

If there is more than one person travelling with the lead participant , the lead participant confirms that they are deemed to have the authority to book and accept these terms on behalf of all the people in the group including minors.

In order for us to confirm your travel arrangements you must provide all requested details when making the booking.

Necessary details vary by trip, they included full name as per passport, date of birth, nationality, passport number, passport issued and expiry date and any pre – existing medical conditions you have which may affect your ability to complete your travel arrangements.

Complete self – assessment form maybe demanded in some occasion. Lack of information may result in extra charges or non – refundable cancellation of your trip.

A cancellation will only be effective when we receive written confirmation. If you leave a trip for any reason after it has commenced, we are not obliged to make any refund for unused services.

If you fail to join a tour, or join it after departure or leave it prior to its completion, no refund will be made. And if unable to join a tour for any COVID -19 related reason, please contact our head office.

We may cancel a trip at any time prior to departure if due to terrorism, political instability or other events it is not viable for us to operate the planned itinerary. If we have to cancel your trip, you can transfer amount paid to an alternate departure date or receive a full refund.

In circumstances where the cancellation is due to FORCE MAJEURE, refunds will be less unrecoverable costs. We are not responsible for any incidental expenses that you may have incurred as a result of your booking including but not limited to visas, vaccinations, travel insurance or nonrefundable flights.

You must carry a valid passport and have obtained all of the appropriate visas, permits and certificates.

Your passport must be valid for six months beyond the duration of the trip. It is your responsibility to ensure that you are in possession of the correct visas, permits and certificates for your trip. We are not responsible if you are refused entry because you lack the correct passport, visa or other travel documentations.

You agree to purchase comprehensive travel insurance at the time of the booking. You acknowledge that without such travel insurance, you will be responsible for all costs may arise during any emergency (medical or other) that may occurred during your travels.

You agree that in the event of you failing to purchase adequate insurance cover, you will not hold Rick trackers & safaris responsible for any harm or loss that you may suffer. Travel insurance are mandatory to all our clients climbing Kilimanjaro You are travel insurance must provide cover against personal accident, death, medical expenses and emergency repatriation.

All our group are run by a tour leader The decision of tour leader is final on all matters likely to affect the safety or well – being of any traveler or any participating member in the trip. If you fail to comply with the decision of the tour leader, or interfere with the well –  being or mobility or the group, your leader may direct you to leave the trip immediately with no right of refund.

You acknowledge that the nature of trip is adventures and participation involve a degree of personal risk. You will be visiting places where the political and cultural and geographical attributes present dangers and physical challenges. Your decision to travel is made in light of consideration of this information and you accept that you are aware of the personal risks.

Majority of the tours include going to remote areas or poorly developed regions and in high altitude where infrastructure is limited. By agreeing to these booking terms and conditions and by embarking upon your trip, you acknowledge these hazards and your acceptance of the associated risks.

Any personal information that we collect from you, only used for any purpose associated with operation of a trip. The information maybe disclosed to our agents , service providers or other supplier to enable us to operate the trip. We will otherwise treat your details in accordance with our privacy policy.

For purpose of these booking conditions, Force Majeure means any event beyond our control, the consequence of which could not have been avoided even if all reasonable measures had been taken. Examples including warfare and act of terrorism, civil strife, significant risk to human health such as the outbreak of serious diseases at the travel destination or natural disaster such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, even with all due care, foresee or avoid. These threats include riot, the act of any government national or local authorities, fire, endemic and pandemic diseases and all similar events outside our control.

NOTE; if our contractual obligations to you are affected by Force majeure, Rick trackers & safaris will not be liable or paying any compensations.

If you have any complaint about your trip , please inform your tour leader or head office in Arusha in order that we can try out best to rectify the matter If satisfaction is not met through these means then any further complaint should be put in writing to us within 20 days of the end of the trip.
